Guidelines and Conformity

The new requirements for electronic sales registration systems for certain sectors in Denmark apply from January 1, 2024 and aim to ensure a sufficiently documented data basis for the sales registration of companies.

Electronic sales registration systems in Denmark

Legal requirements in Denmark

In Denmark, companies in certain sectors (see below) with annual sales of less than DKK 10 million are required to use an electronic sales registration system. The system must meet the legal requirements set out in the Danish VAT regulation.

The specific sectors are:

  • Cafés, pubs, nightclubs, etc.
  • Pizzerias, fast food restaurants, ice cream parlors, etc.
  • Grocery stores and 24-hour convenience stores
  • Restaurants

The technical requirements for the sales registration system include:

  • All actions processed via the sales registration system must be logged in the system's electronic journal.
  • The transaction data in the electronic journal must be electronically signed with an OCES certificate that identifies the business operator or the provider of the electronic sales registration system, so that the integrity of the data in the electronic journal can be verified in connection with audits.
  • The electronic journal must contain the receipt information.
  • The sales registration system must be able to generate a file in SAF-T format directly from the electronic journal.
  • The sales registration system must also be able to generate Z and X reports.
Colorful historic buildings line the banks of the Nyhavn harbor in Copenhagen. In front of the houses are restaurants with outdoor terraces, and in the water are several boats and historic sailing ships. The sky is clear, and many people are enjoying a walk along the waterfront.

Requirement for the entrepreneur to obtain an OCES certificate:

All entrepreneurs must obtain an OCES certificate that proves the identity of a company and is used to sign every cash register transaction and the SAF-T export.
